Duplicate records in HubSpot can lead to inefficiencies and data inaccuracies. This can really affect reporting, property updates, associations, marketing emails, and so much more.
But Koalify addresses this by providing a seamless method for identifying and merging duplicates, ensuring your CRM remains clean and reliable.
Here’s what it does:
Bulk Merging via Workflows — You can use Koalify to merge contacts, companies, and deals in bulk straight from HubSpot workflows. There’s a “Merge Duplicate” action you can drop into a workflow, and then either manually enrol duplicates or let it run automatically based on criteria you set.
CRM Cards for Duplicate Suggestions — When you're looking at a contact, company, or deal in HubSpot, Koalify adds a card that flags any potential duplicates. It means anyone on the team can quickly see and resolve them without needing to run reports or go digging.
Custom Duplicate Rules — You can define your own rules for what counts as a duplicate. For example, if email and company name match, or just phone number, whatever combination fits your data. That flexibility is helpful if your duplicate logic isn’t one-size-fits-all. It can even account for 'Ltd' or 'Limited'!
Reporting and Notifications — Koalify creates properties you can use in HubSpot lists and reports, so it’s easy to track how many duplicates are showing up, where they’re coming from, and who owns them. You can also notify record owners when a duplicate is found.
